QX for Bid Teams

Answer the next RFP from every bid you've ever written.

QX is an AI teammate for bid and pre-sales teams. It reads your past tenders, questionnaires and product docs, answers new ones row by row with a source on every answer, and flags what it can't answer instead of guessing.

How QX handles your next tender

One prompt to decide whether to bid

Drop the tender in. QX reads every page, pulls out the requirements, deadlines and red flags, and tells you how much of it you've already answered somewhere. The bid, no-bid call happens with the facts on the table.

Read the Northgate tender and tell me what we're dealing with.

TenderScanAgent10:20

Read all 84 pages. Submission is due 21 March through their portal.

Two flags: they require on-shore data residency in a region you don't cover, and the SLA they ask for is stricter than your standard one.

Of the 11 mandatory requirements, you've answered 9 before in past tenders. The residency question is the real decision.

Any past answer, found in seconds

Point QX at the folders where old tenders, questionnaires, policies and product docs live. It reads all of it, PDFs, decks and spreadsheets included, so any question you've ever answered comes back in seconds, with the document it came from.

What's our answer on data residency for EU customers?
SM
AnswerDeskAgent14:12

You've answered this four times since 2024. The current position:

EU customer data stays in Frankfurt, with backups in Dublin. The full wording is in the Nordbank tender, page 31.

One 2023 answer says Amsterdam. That's out of date since the migration; worth archiving so nobody reuses it.

203 questions, answered before you open the file

Upload the questionnaire exactly as it arrived. QX answers every row from your own past answers and policies, puts the source next to each one, and flags what it can't answer instead of guessing. You review the flags and export the same spreadsheet back.

The Northgate security questionnaire just landed. 203 questions, due Thursday. Take the first pass.
SH
BidDeskAgent16:05

Done. 187 of 203 answered from your past questionnaires and policy docs, each with its source in the next column.

16 questions have no prior answer. They're flagged for you, not guessed; most concern the new SSO rollout.

Where two past tenders disagreed, I used the newer answer and noted the difference.

First drafts in your template, from your past wins

Give QX your proposal template once and it sticks. Response sections come back drafted in your format and tone, built from the bids that won, with anything that changed since clearly marked.

Drafted, in your standard proposal format, from three past wins with similar scope.

One thing to check: Northgate asks for a 99.95% SLA and your past bids commit to 99.9. I've marked the gap rather than reusing the old number.

Use our proposal template for every draft, keep answers under 150 words unless the question asks for more, and never guess: flag anything we haven't answered before.

✅ Saved. Every response from here follows those rules.

Drafts land in your proposal template, answers stay under 150 words unless asked, and anything without a source gets flagged for you instead of answered.

Review the flags, export the file

Answers can be populated in the original Excel file the questionnaire arrived in, with a source beside every answer and any gaps flagged at the top. You review, fix and send. Hours down to minutes.

Your bid stack

The folders, files and channels the team already uses. QX reads them where they are; nobody migrates anything.

Go from days of digging to hours of reviewing.

QX takes your team from copy-paste to review-and-send.

Without QXWith QX

A shared drive holds forty old tenders, and finding a past answer takes as long as rewriting it.

Ask the question, get the answer you already wrote, with the tender it came from.

Stale answers get copied from the last bid, and nobody catches yesterday's numbers until the client does.

Answers come from the newest source, and QX says so when an old one looks out of date.

RFP point tools need a separate answer library, maintained by hand, and only handle questionnaires.

QX reads the documents you already keep, stays current as they change, and covers tender analysis and drafting too.

ChatGPT writes a fluent answer about a product it has never seen.

QX answers from your own documents and shows the source, or flags the question instead.

The all-nighter becomes the plan when three questionnaires land in the same week.

First passes run side by side while the team reviews. Deadlines stop deciding the working hours.

Built for bid teams

A source on every answer, a flag on every gap, and no surprises about where your documents go.

It never guesses
A question with no source in your library gets flagged for a human, not answered. You always know which rows need you.
Every answer shows its source
The document and page sit next to each answer, so review means checking, not rewriting from scratch.
Templates that stick
Set the proposal format once. Every draft after lands in it, in your tone, without being asked again.
We don't train on your documents
Your tenders, policies and security answers stay yours. Encryption in transit and at rest, role-based access and audit logs.

Before you put QX on an RFP

No. If your library holds no source for a question, QX flags it for a human instead of answering. Every answer it does give shows the document and page it came from, so you can check any of them in seconds.

PDFs, Word documents, PowerPoint decks and Excel spreadsheets, as they are. Point it at the folders in SharePoint, Google Drive or Notion and it reads the contents where they live, images and diagrams included. Nothing gets converted or migrated first.

Yes. Upload the questionnaire exactly as it arrived and it comes back as the same file, with the answer, the source and a status on every row, ready to review and export back to Excel.

The library reads live from your folders, so a new policy or product doc counts from the moment it lands. When an old answer conflicts with a newer source, QX uses the newer one and tells you it did.

Access is role-based at workspace and library level, so you decide who sees what, and audit logs record every question asked. We don't train models on your documents, and everything is encrypted in transit and at rest.

Usage-based credits shared across the workspace, not per seat. The free plan includes 5,000 credits a month; Pro starts from $30 a month. You see the estimated cost of a questionnaire before you run all of it. See the pricing page for current figures.
